Project Administrator

Project Director


We are looking for a Project Administrator to join us in the exciting work we do at Startec Compression & Process. This individual must be able to arrange assignments, manage schedules, gather resources, and effectively communicate progress to team members. Reporting to the Project Director, it will be your responsibility to work collaboratively with Project Managers and their project teams to facilitate and promote excellence in project execution.


  • Creation and management of forms and templates, as well as reports and proposals.
  • Compile weekly and monthly project reports.
  • Route and expediting documents for approval using a variety of electronic means.
  • Maintain non-technical project files and assist Document Control personnel with the management of technical documents.
  • Assist Accounting/Finance personnel via receiving, verifying, recording, tracking, and reconciling cost information and invoices.
  • Plan, schedule and execute project meetings and team events including the arrangement of catering, transportation, etc. Set-up and execution of virtual meetings and videoconferencing.
  • Coordinate activities, resources, equipment, and information including procuring and coordination of sub-trades and suppliers.
  • Assist the Project Manager in preparing project tenders, schedules, and procurement.
  • Assist team members with expense reporting, reimbursement, and credit card reconciliation.
  • Compose, format, and proofread correspondence and other material for both project management and technical topics for review and authorization by a supervisor.
  • Record, check and issue meeting minutes.
  • Create and maintain comprehensive project documentation, plans, correspondence, meeting minutes, and reports.
  • Assist in the preparation and distribution of contract documentation.
  • Log and maintain site instructions and requests, change orders, and submittals.
  • Assist with day-to-day project coordination activities as assigned.


  • Minimum of 3 years experience in a project support role
  • Minimum of post-secondary education in business administration or equivalent experience
  • Experience providing administrative support on major projects
  • Excellent interpersonal and communication skills with a strong collaborative and cooperative approach
  • Demonstrated resourcefulness and the ability to work as an effective team member
  • Proven attention to detail and ability to check one’s own work to ensure quality
  • Strong competency in Microsoft products including Word, SharePoint, PowerPoint, and Excel
  • Full understanding of confidentiality requirements and processes for documents and correspondence
  • Demonstrated ability to work independently, take initiative, and function with a high degree of professionalism
  • Ability to multi-task and work within a fast-paced environment while remaining flexible and steadfast
